Collecting and Using Your Personal Data

Types of Data Collected

Personal Data

While using Our Service, We may ask You to provide Us with certain personally identifiable information that can be used to contact or identify You. Personally identifiable information may include, but is not limited to:

  • Email address

  • First name and last name

  • Phone number

  • Address, State, Province, ZIP/Postal code, City

  • Billing, payout and tax information, if You earn money through the Service

  • Usage Data

Usage Data

Usage Data is collected automatically when using the Service.

Usage Data may include information such as Your Device's Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our Service that You visit, the time and date of Your visit, the time spent on those pages, unique device identifiers and other diagnostic data.

Billing, payout and tax information

If You earn money through the Service, We collect what We need to pay You and document it: the name, address, phone number and (for a business) VAT number on Your invoice information, Your PayPal email address if You want to be paid through PayPal, Your Stripe account ID and email, and a record of each payout. Where We invoice on Your behalf (self-billing), We also collect whether You are paid as a private person or a business, Your legal name and billing address, Your VAT number, which We check in the EU VIES register, and, if You are a private person resident in Denmark, Your CPR number, which We need to report Your earnings to the Danish Tax Agency (Skattestyrelsen) as B-income. Bank details You enter in Stripe's forms go directly to Stripe.

We keep invoices and payout records, with the billing details on them, for as long as Danish bookkeeping law requires, at least five years from the end of the financial year, also after You delete Your account.

Information from Third-Party Social Media Services

The Company allows You to create an account and log in to use the Service through Google. If You decide to register through or otherwise grant us access to Google, We may collect Personal Data that is already associated with Your Google account, such as Your name and email address, in accordance with the permissions You grant.

Meta Platform Data (Instagram)

When You connect an Instagram Business account to the Service, We use Meta's OAuth flow to request the instagram_business_basic and instagram_business_manage_insights permissions (You may decline the latter, in which case We hold no audience demographics or metrics). After You grant consent on Meta's screen, We retrieve the following data from the Instagram Graph API:

  • Instagram username
  • Name
  • Biography
  • Website
  • Profile picture URL
  • Followers count
  • Follows count
  • Media count
  • Recent media (image and video URLs, captions, timestamps, permalinks)
  • Aggregated audience demographics and media performance metrics

How Meta Platform Data is used. We use this data solely to:

  1. Display Your connected Instagram account(s) and their performance in Your Filify dashboard;
  2. Populate Your Mediakit with each connected account's profile, audience demographics, last 30 days of account insights and 50 most recent media, so brands can evaluate You for campaign collaborations;
  3. Let companies whose campaigns You have requested or joined (including requests later declined or ended) see the same information, whether or not Your Mediakit is shared, and the posts that match their campaign;
  4. Check whether You meet a campaign's connection requirement, and match Your posts to campaigns You take part in; and
  5. Let Filify staff search and review connected creators to find creators for brand campaigns, and fill in a missing name or profile picture on Your Filify profile from Your Instagram profile. Staff may do this with an AI assistant (see "AI Assistance" below).

Public Mediakit. Your Mediakit is accessible via a unique shareable link. Connecting an Instagram account adds it to Your Mediakit automatically. Anyone with the link, including brands and the public, can view the information in point 2 above. You can switch off sharing, which disables the link, and You can disconnect any Instagram account at any time from Your Filify dashboard, which removes that account from Your Mediakit and from what companies see under point 3.

What We do not do with Meta Platform Data. We do not, and will not:

  • Sell, license, or transfer Meta Platform Data to data brokers, ad networks, advertisers, or any third party for monetary or other valuable consideration;
  • Use Meta Platform Data for advertising, ad targeting, lookalike audience creation, ad measurement, or any retargeting or remarketing purpose;
  • Combine Meta Platform Data with information from other sources for purposes that are incompatible with the uses described above;
  • Share Meta Platform Data with Our Affiliates or business partners for marketing purposes.

Retention and deletion of Meta Platform Data. We retain Meta Platform Data only while Your Instagram connection to the Service is active. When You disconnect an Instagram account in the Service, or revoke access via Instagram Settings → Apps and Websites, We delete the associated Meta Platform Data within 30 days, except where retention is required to comply with a legal obligation. To request immediate deletion, contact us at asger@filify.app. See also the "Data Deletion Instructions" section below.

Sub-processors that may process Meta Platform Data. Meta Platform Data is processed only by the sub-processors needed for the uses described above: Google Cloud (database storage), Render (API hosting), Vercel (web app hosting), Firebase Authentication (account authentication), Sentry (error monitoring), Datadog (API logs and monitoring) and Anthropic (AI assistant used by Filify staff, see "AI Assistance" below). These sub-processors process the data on Our behalf under contractual safeguards and are not permitted to use it for their own purposes.

YouTube API Services (Google)

When You connect a YouTube channel to the Service, We use Google's OAuth flow to request the youtube.readonly ("View your YouTube account") and yt-analytics.readonly ("View YouTube Analytics reports for your YouTube content") permissions. The Service uses YouTube API Services. By connecting a YouTube channel You agree to be bound by the YouTube Terms of Service. Google's handling of Your data is described in the Google Privacy Policy.

After You grant consent on Google's screen, We retrieve the following data from the YouTube Data API and the YouTube Analytics API for the channel You connected:

  • Channel: ID, title, description, thumbnail, subscriber count, view count and video count
  • Public videos and Shorts: ID, title, description, thumbnail, link, publish date, duration, view, like and comment counts, and per-video watch time
  • Channel analytics for the last 90 days: daily views, watch time, subscribers gained and lost, and aggregated audience demographics by age group, gender and country

We do not access private videos, comment text, revenue data, or any part of Your Google account beyond these permissions.

How YouTube data is used. We use this data solely to:

  1. Display Your connected channel and its performance in Your Filify dashboard;
  2. Populate Your public Mediakit page when You choose to share it;
  3. Let companies whose campaigns You have joined or requested see Your audience and content performance;
  4. Check whether You meet a campaign's connection requirement, and match Your videos to campaigns You take part in; and
  5. Let Filify staff search and review connected creators to find creators for brand campaigns, and fill in a missing name on Your Filify profile from Your channel. Staff may do this with an AI assistant (see "AI Assistance" below).

Stored YouTube data is refreshed at least every 30 days (videos hourly, analytics daily) and deleted when You disconnect the channel or delete Your account.

What We do not do with YouTube data. We do not sell YouTube API data, use it for advertising or ad targeting, or aggregate it across creators to derive insights about YouTube. Filify's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Revoking access and deletion. You can disconnect a channel at any time in the Service under Settings → Media. You can also revoke Filify's access from Your Google Account security settings at https://security.google.com/settings/security/permissions; We delete the stored data for a revoked channel within 30 days, except where retention is required to comply with a legal obligation. To request immediate deletion, contact us at asger@filify.app. See also the "Data Deletion Instructions" section below.

How Filify uses TikTok data (Login Kit and Display API)

When You connect a TikTok account to Filify, We use TikTok's Login Kit to request the user.info.basic, user.info.profile, user.info.stats and video.list permissions. Filify uses the TikTok Display API. By connecting a TikTok account You agree to be bound by the TikTok Terms of Service. TikTok's handling of Your data is described in the TikTok Privacy Policy.

After You grant consent on TikTok's screen, We retrieve the following data from the TikTok Display API for the account You connected:

  • Account (user.info.basic and user.info.profile): the account identifiers TikTok issues to Filify (the open_id TikTok issues for the Filify app and the union_id it issues for our developer account), username, display name, profile picture (a link to the image on TikTok's servers), bio, profile link and verification badge
  • Account statistics (user.info.stats): follower count, following count, total likes received and video count
  • Public videos (video.list): ID, title, caption, cover image, share and embed links, publish date, duration, and view, like, comment and share counts

We also store the access and refresh tokens TikTok issues for Your account, and the list of permissions You granted, so that We can keep this data up to date; they are deleted when You disconnect the account or delete Your Filify account.

We do not access private videos, drafts, direct messages, or comment text, and We cannot post to Your account. TikTok's Display API provides no audience demographics, so We hold none for TikTok.

How TikTok data is used. We use this data only to:

  1. Display Your connected account and its performance in Your Filify dashboard, including estimating what Your posts are worth when You price a paid-post pitch;
  2. Show Your connected account, its statistics and Your 50 most recent videos on Your Mediakit. Connecting an account adds it to Your Mediakit automatically. The Mediakit can be viewed by anyone who has its link and is not indexed by search engines; disconnecting the account removes it from Your Mediakit;
  3. Let companies whose campaigns You have requested or joined (including requests that were later declined or ended) see Your connected account's profile, statistics and recent videos with their performance, whether or not Your Mediakit is switched on, and review the videos You submit to their campaign or that match it;
  4. Check whether You meet a campaign's connection requirement, and match Your videos to campaigns You take part in; and
  5. Let Filify staff search and review connected creators to find creators for brand campaigns, and fill in a missing name on Your Filify profile from Your TikTok display name and bio. Staff may do this with an AI assistant (see "AI Assistance" below), which processes the data only to answer staff requests.

We refresh the stored data about once an hour while the connection is active (Your profile, statistics and Your 100 most recent public videos). Videos We have already stored are kept until You disconnect the account, even if You later delete them or make them private on TikTok. Stored TikTok data is deleted when You disconnect the account or delete Your Filify account. The link and TikTok video ID of any video You submitted as a campaign deliverable are kept as part of that campaign's record.

What We do not do with TikTok data. We do not sell TikTok data, use it for advertising or ad targeting, or aggregate it across creators to derive insights about TikTok.

Revoking access and deletion. You can disconnect an account at any time in the Service under Settings → Media; its access token, profile, statistics and synced videos are deleted from Our active databases right away (links to videos You submitted as campaign deliverables are kept with that campaign), and We ask TikTok to revoke Filify's access to Your account. Even if that request fails, We still delete the token on Our side, so We cannot use it again. You can also revoke Filify's access in the TikTok app: go to Settings and privacy → Security (shown as "Security & permissions" or "Security and login" depending on Your app version) → Manage app permissions, select Filify and remove access. We detect the revocation the next time We renew Our access token, normally within 24 hours, and then delete the stored data. To have it deleted sooner, disconnect the account in Settings → Media or ask us at asger@filify.app. See also the "Data Deletion Instructions" section below.

  3. Delete TikTok data. Sign in to https://a.filify.app, go to Settings → Media, and disconnect the TikTok account; its access token, profile, statistics and synced videos are deleted right away and We ask TikTok to revoke Filify's access (links to videos You submitted as campaign deliverables stay with that campaign). You can also remove Filify in the TikTok app under Settings and privacy → Security → Manage app permissions; We detect this the next time We renew Our access token, normally within 24 hours, and then delete the stored data.
  4. Delete Your Filify account. Email asger@filify.app from the address associated with Your account, with the subject line "Data Deletion Request". We will confirm receipt and close Your account within 30 days. You can then no longer sign in; Your name, email address, profile details, social media handles, billing profile (including any CPR number), PayPal email and shipping addresses are erased; and Your connected accounts, their data and Your Mediakit are deleted. We keep what We need for bookkeeping and to settle earnings (earnings, conversions, payouts, invoices, affiliate codes, campaign history and campaign messages), and Your email address and handles on a do-not-contact list so that We do not contact You again.
